CIRCULATION DIVISION
The Circulation Division of the library provides open/closed access for issuable books to faculty, staff and students of the university and special members. The division comprises seven storied building; each floor has a special type of collection. Circulation Section handles the front desk operations of the library and is an important section because it is the first contact point for users of the library. Qualitative functioning of Circulation Section leaves a lasting impression on the user. The Circulation Division is responsible for the following works:
Library Membership
Eligibility
:
The following classes or persons shall be eligible for membership of the library:-
1.
Members of the University Court, the Executive Council, the Finance Committee etc. not otherwise eligible for membership under any other category;
2.
University teaching and academic staff.
a.
Regular Faculty Members;
b.
Temporary/ Guest Faculty;
c.
Post-Doctoral Fellowship (PDF);
3. Members of the Administrative staff and the teachers of the AMU Schools;
4. Members of the University ministerial staff;
5. Students on the rolls of the University except for Schools;
6. Visitors/ Scholars from other Universities;
7. Members retired from the University Services;
8. Special Membership.
Enrollment
:
To get enrolled as a member, a person shall fill up and sign a membership form of their respective category and submit it to the circulation counter after completing all the formalities. The forms for all the categories (except students) are available at a circulation counter of the Library.
Membership Procedure
Membership procedure shall be as laid down in doc: MAL/QP 04 Rev 0. dated 13.04.2019:

Students
:
After the verification of all the documents, membership is granted to the bonafide students. Students can borrow books from the Library through their University Identity Cards issued by the Dean Student Welfare (DSW) or any other University Authority with a provision of the library facilities.
Members of other categories
:
After the verification of all the documents, a Library Card will be issued to the member.
Validity of Card
:
Validity of the card shall be as decided by the management.
Duplicate Card
:
In case of damage/deface/loss of membership card, a member has to submit a written request to University Librarian and submit the same in the circulation section along with a fine of Rs.50/- for issuing the duplicate card.
Borrowing Privileges
:
The privileges of different categories of members are given below. They can lend out maximum number of books at a time, as mentioned against their categories:

Note: This is as per notification dated 10.05.2011 issued by Dy. Librarian, Circulation Division. Modifications, if any, shall be notified.
Issuance of Documents
Documents not to be issued
:
Documents of the following description shall not be lent out from the Library:
1.
Manuscripts
2.
Books Published before 50 years.
3.
Reference and Rare Books
4.
Fine Arts Collection
5.
Books from different collection donated by dignitaries
6.
Reserved Books
7.
Bound Newspapers and Journals
8.
Theses and Dissertations
9.
Microfilms
10.
Any other documents/artefacts as decided by the Competent Authority
In case of documents mention at Sl. No. 2, 3, 5 and 6 above, the University Librarian may accord permission to lent out under special circumstances.
Documents to be issued
:
Text-books and General books not included under the above-mentioned categories (Documents not to be issued) can be loaned from the Library. No book shall be given on loan to the members belonging to the category of Visitors/ Scholars from other Universities/Institutions/Organizations which do not fall under the administrative control of Aligarh Muslim University, Aligarh.
Loan Period:
The Loan period for different categories of books that may be borrowed will normally be as follows:
(a)
Text Books
:
One week
(b)
General Books:
Two weeks (For UG & PG students)
:
Four weeks (For RS and Staffs)
However, the period of loan may be increased/decreased by the University Librarian at his discretion.
Loan Conditions:
(a)
Each member may borrow on loan not more than (the limit as mentioned in the Borrowing Privileges table) separate volumes at one time.
(b)
No text books shall be re-issued to the member on the same day.
(c)
Copy of same book will not be issued to the members account at the same time.
(d)
Before getting books issued, the member shall satisfy as to whether the book lent is in sound physical condition; and if not, the member must immediately point out any mutilations to bring the matter to the notice of the staff on duty or Incharge of the Circulation Division; otherwise the member shall be responsible for any mutilations discovered on return.
(e)
The University Librarian may, at any time, recall any book before the expiry of the period for which it was lent or withhold its issue.
(f)
Book(s) issued to the /borrowed by the member shall not be returned on the same day.
(g)
If any member brought issued books inside the library, other than the day it is issued, the book shall be retained in the library and member has to return this book (even before due date).
(h)
Textbooks of other stream may not be issued to the students of different streams. e.g. students of science stream may not borrow the textbooks of arts or vice versa, however, University/Deputy/Assistant Librarian may allow on his discretion on the written request of the member.
Fines
Overdue Charges
:
Borrowed books should be returned within/on due date mentioned on the date slip of the document issued, otherwise, overdue charges as notified from time to time for Textbooks and General books per day per volumes shall be charged for keeping the books beyond the due date.
Marked/defaced/spoiled or damaged of book
:
The University Librarian shall at his discretion either impose a fine or require the member to pay the price of the book, where a book has been marked, defaced, spoiled or damaged by a member within the library or while it was issued out to him.
Loss of Books
:
If a book has been lost, the member is to required:
(a)
Replacement: The book will be replaced by the same or latest edition of the same title.
(b)
Realization of Cost:
i.
In case book cannot be replaced, the assessed cost of a book will be realized from the member.
ii.
If lost volume of book is belonging to a set, the member shall be required to pay the assessed cost of the whole set and remaining volumes of a set will be returned to him.
